Round Robin vs. Weighted Email Lead Distribution

Equal round robin and weighted distribution solve different assignment problems. Round robin rotates through eligible staff. Weighted distribution targets different shares of incoming work, which can help teams with different capacities or responsibilities.

When equal round robin fits

Choose equal rotation when representatives have similar roles, schedules, and capacity and can handle the same inquiries. It is straightforward to explain and audit: each eligible person receives a turn before the rotation repeats.

When weighted distribution fits

Weights can give one representative a larger target share or limit assignments for someone learning a new role. For example, a team might target 50%, 30%, and 20% of eligible leads across three people. Those percentages are an illustration, not a promise that every small batch will divide exactly that way.

Separate eligibility from weighting

Decide who is eligible before deciding how to split work. An unavailable person or someone outside the appropriate group should not receive a lead simply because they have a high weight. Schedules, routing rules, and specialist groups affect which messages enter a distribution pool.

Avoid splitting unlike work into one comparison

A complex quote and a brief pricing question count as one email each but may require very different effort. Use product or department rules when inquiries need different skills, and review distribution by group instead of comparing every representative against one overall total.

Preserve useful customer relationships

An established contact can be more helpful than a fresh rotation for repeat customers. Define relationship rules explicitly and review their effect on new-lead totals. Otherwise, continuity assignments may look like an unfair distribution even when they are intentional.

Review the outcome over a useful period

Use enough eligible inquiries to judge whether the allocation fits your goal. Compare assignment counts, availability, routing decisions, and delivery failures. Change one setting at a time and recheck the results rather than adjusting weights after every individual lead.
