How Round-Robin Email Assignment Works

Round-robin email assignment gives each new shared-inbox message to the next eligible person in a rotation. It is useful when several people can handle the same kind of request and the team wants a predictable way to share incoming work.

A simple three-person example

Suppose Alex, Jamie, and Taylor are available for the sales inbox. The first eligible inquiry goes to Alex, the next to Jamie, and the next to Taylor. The rotation then returns to Alex. If Jamie is unavailable, routing should skip Jamie rather than leave a customer waiting for an off-duty employee.

Decide who belongs in each rotation

Use a group for people who can handle the same work. A general sales group may handle ordinary inquiries, while a specialist group handles product-specific questions. Apply routing rules before the default rotation so specialized requests reach people with the right skills.

Account for schedules and availability

A fair rotation is only useful if recipients can respond. Define working schedules and mark staff unavailable when needed. Distribution counts can differ when employees work different hours; that does not necessarily mean the rotation is broken.

Keep repeat customers with their contact

A returning customer may benefit from continuity rather than a new representative every time. Inbox Distro supports customer-to-staff relationships alongside distribution rules. Review those relationships when someone changes roles or leaves the team.

Test before using a live inbox

Start with a test mailbox and a small staff group. Send a sequence of test messages, confirm the recipient order, mark one person unavailable, and test a specialist rule. Review assignment and delivery history separately: choosing an owner and successfully forwarding an email are different steps.

Know what round robin does not measure

Equal message counts do not guarantee equal workload, lead value, or response speed. Review the type of work each person receives and whether messages are delivered. If equal rotation does not fit your team, consider weighted distribution.
